Every new hire and rehire must be reported to the Texas Attorney General’s Employer New Hire Reporting Program within 20 days of the employee first earning wages. This is the single most commonly missed Texas onboarding step, because it sits outside the federal paperwork most checklists are built around.
Written authorization for anything you will deduct. Uniforms, equipment, training repayment, advances — if it will ever come out of a paycheck, the authorization must be in writing, for a lawful purpose, and signed. Collect it at onboarding or you will not have it when you need it. (Texas Labor Code § 61.018.)
Get exemption classification right on day one, because pay frequency depends on it: exempt employees at least monthly, non-exempt at least twice monthly. (§ 61.011.)
Be careful what the offer letter promises. Texas is at-will — either party may end the relationship at any time, for any reason or none. But PTO, holiday, sick or severance pay promised in a written policy becomes enforceable wages under the Texas Payday Law. (§ 61.001(7).) An onboarding packet is a written policy.
